How can I submit a report?

WhistleTube can be implemented via a link on your own website or at desired locations. Whistleblowers are redirected to the system from there and are given the opportunity to register or alternatively submit a report anonymously. The report can be provided with a title and a detailed description, and the narrative can optionally be augmented with image or video material.

Additionally, there is the option to choose a topic defined by the organization to better categorize and assign the report.

What does "whistleblowing system" mean?

A whistleblower system, often referred to as a "whistleblowing system," is a specialized type of software or platform that enables individuals to report confidential information about possible wrongdoing, legal violations, ethical misconduct, or other critical matters in their workplace or within an organization, either anonymously or non-anonymously. These systems are designed to protect the identity of the whistleblower and ensure that the reports received are handled appropriately and confidentially. Whistleblower systems are typically aimed at promoting transparency, ethics, and accountability within companies and organizations. They are an essential component of corporate governance and compliance efforts for many businesses and can help in identifying and addressing potential risks and violations at an early stage.

How does the process proceed after submitting a report?

  1. After you have submitted your report through WhistleTube, you will promptly receive a special link with an individual reference code. 
  2. Through this link, you can check the status of your report, ask questions, and communicate directly with the case handler, whom was chosen by the company
  3. Your report is encrypted and sent directly to the relevant reporting entity and the responsible case handler. 
  4. Within a maximum of seven days, you will receive an acknowledgment of receipt for your report through the provided link.
  5. In the next step, the case handler will assess the admissibility of your report. If your report is admissible, it will be commented on, and you will be informed about it through your special link.
  6. Throughout the entire process, the provided link serves as a platform for continuous communication between you and the handling person. 
  7. After a thorough examination and processing of your report, a final update will be provided through the same link, and the process will be marked as completed.

Can an unlimited number of reports be submitted?

Yes, an individual can submit multiple reports. For each submitted report, an individual link with a reference code is generated.

How does the whistleblower remain truly anonymous?

In the case of an anonymous report, the system provides the whistleblower with an individual link containing a reference code. This code is non-personalized and ensures the anonymity of the whistleblower. Through this link, the whistleblower can check the current status of their report and respond to any inquiries from the organization. If the whistleblower voluntarily provides an email address, they can be informed through it about updates or additional questions. However, it's important to note that providing an email address may, under certain circumstances, allow for inferences about the whistleblower's identity.

How does the implementation work?

After contacting us, we will create an administrator account and user details based on the provided company information. This account will be assigned a one-time password and handed over to the customer.

Upon the initial login, a new organization and contacts can be created, and further configurations can be made.

Can I create as many case handlers as I want?

Yes, you can add as many case handlers to your organization as you need to efficiently process incoming reports.

Are the reports transmitted and stored in encrypted form?

Yes, the security and confidentiality of the reports are of the utmost priority. The data is encrypted using a client-side public-key method before it is sent to our server. This means that the information is already encoded on your device, ensuring it is protected from external access during transmission.

Thanks to end-to-end encryption, the data can only be decrypted and viewed by individuals with the appropriate access rights within the relevant organization. As a result, the reports are securely protected from unauthorized access both during transmission and storage.

Is WhistleTube GDPR-compliant?

We place a strong emphasis on the protection of personal data and have implemented both technical and organizational measures to ensure compliance with data protection regulations.
